Guidelines for Best Performance Updated September 15, 2025 09:08 To ensure a fast, reliable, and scalable experience in Showpad, we recommend following the guidelines outlined below. These are based on real-world performance data and are designed to help you avoid slowdowns, errors, or unintended behavior, especially as your organization scales. Note: If you have a use case that requires going beyond these options, please contact our Support team. We’re here to help. Key Recommendations These are the key areas where our guidelines apply, including what we recommend and why adhering to these limits helps ensure a smooth and reliable experience. Content Management Number of Maximum Supported Recommended Maximum Why It Matters Tags per account 50,000 10,000 Large numbers of tags can cause slow performance in tag selectors, filters, Smart Folders, and overall navigation. Users may experience long loading times and inconsistent filtering behavior. Tag categories per Division 1,000 200 Managing hundreds of categories can become difficult for both admins and users. Filtering by category or browsing tagged content can become confusing or slow. Smart Folders per Experience 1,000 500 Too many Smart Folders can severely impact Experience performance, with slow load times or even timeout errors when users access or search within Experiences. Assets per Division 50,000 25,000 Divisions with tens of thousands of assets may face long sync times, delays in asset loading, and sluggish Experience building or browsing. Content Automations Applies to 15,000 assets Content automation rules will not apply to assets beyond the 15,000 limitation. This could cause critical content to be skipped without warning. The following metrics don’t have hard limits; however, extremely high numbers can significantly impact performance: the number of tags per asset the number of asset versions User Management Number of Maximum Supported Recommended Maximum Why It Matters User groups 10,000 users per group Excessive user group assignments (especially across multiple Divisions) can trigger backend errors, delay permission loading, and make user management difficult for admins. User groups per user 50 Users assigned to too many groups can experience slow logins, permission conflicts, or unexpected access issues, especially in complex orgs. Divisions per user group 5 Assigning a single group to many Divisions increases the complexity of permission checks and can lead to loading errors (e.g., Division permissions failing to resolve). User group size 10,000 Very large user groups can delay Experience loading and increase the risk of timeouts or backend errors during permission evaluation. Divisions per users (via promotions) 5 Being promoted across many Divisions can create complex permission hierarchies that slow down navigation and content loading. What Happens When You Exceed Recommendations? Performance may slow down in areas like search, Smart Folders, tagging, or asset browsing. Automations will silently skip assets that exceed the 15,000 limitation. Errors may occur when loading complex permission setups (user groups, Divisions). Perception of bugs may arise, even if the cause is related to volume. Benchmarks Across Customers The following benchmarks can help you assess how your organization compares to others using Showpad. Here’s how most organizations are currently using the platform: Number of Median 95th percentile 99th percentile Tags per asset 5 20 40 Assets per Division 6 352 2,46 Versions per asset 41 2,176 8,058
